Company-paid claims · Xero reconciliation

Company money spent. Reconciled in Xero. Automatically.

When employees pay with petty cash, a corporate credit card or a prepaid card, AltomateHR captures the receipt with AI, posts a Xero Spend Money transaction, and auto-matches the bank line — so finance only chases the exceptions.

The reconciliation problem

Company money is where reconciliation goes to die

Reimbursements are easy — the employee is out of pocket, so they chase you. Company-paid spend is the opposite: the money's already gone, and the receipt is the thing that goes missing.

💳

Card statements, no receipts

A credit-card line lands in the bank feed but nobody submitted the invoice — finance is left guessing what it was for.

🫙

Petty-cash black holes

Cash and prepaid-card spend leaves the account with no paper trail and no coding until someone reconstructs it weeks later.

🔁

Manual matching

Finance eyeballs every statement line against a pile of receipts and re-keys each one into Xero by hand.

📉

No project visibility

Even once it's booked, the spend isn't tagged to a project — so project P&L is always missing its real costs.

How it works

From receipt to reconciled — in four steps

The employee does one thing: submit the claim and mark it as paid with company money. AltomateHR handles the rest, all the way into Xero.

1

Submit as company-paid

The employee logs into AltomateHR, uploads the invoice, and sets Paid with: Company money. If they have a prepaid card, they pick it from a dropdown.

2

AI reads the receipt

AI vision auto-fills the title, vendor, amount, date, chart-of-account code and project — no manual data entry.

3

Xero Spend Money created

On submit, a Spend Money transaction posts to the paying bank account in Xero, with the receipt attached and the tracking category set.

4

Bank line auto-matches

When the statement imports, Xero matches it to that transaction. Finance clicks OK — or ignores it entirely and works only the exceptions.

Step 1 · The employee

One form. Two ways it was paid.

Employees submit every expense in the same place — but company-paid spend takes a different path from reimbursements.

  • Paid with company moneyPetty cash, credit card or prepaid card — no reimbursement owed to the employee.
  • Pick the exact card or accountStaff with prepaid-card access select the specific account, so the spend posts to the right Xero bank account.
  • Upload the invoice, doneAI vision reads it and auto-populates the amount, date, vendor, account code and project.
Step 3 · Inside Xero

A tidy Spend Money transaction — built for you

The moment the claim is submitted, AltomateHR posts it to Xero through the API as a Spend Money transaction against the paying account. Nothing to re-key.

  • Receipt stored in XeroThe uploaded invoice is attached to the transaction — searchable and audit-ready.
  • Coded and trackedAccount code, tax rate and tracking category are all set from the claim.
  • Clear provenanceEach entry is stamped "Received through the Xero API from AltomateHR" for a clean audit trail.
The payoff for finance

Reconcile by exception, not by hand

Because every company-paid claim already exists in Xero as a Spend Money transaction, the bank feed matches itself. Finance stops reviewing the matches and starts reviewing only what doesn't match — in both directions.

  • !
Statement line, no claimA card charge appears but no receipt was submitted — chase the employee who spent it.
  • !
Claim, no statement lineA claim was submitted but nothing cleared the account — flag it before it's paid twice.
  • Everything else clears itselfMatched lines are one click — or reconcile in bulk and move on.

Finance touches the two amber lines. The green one takes care of itself.

Project & tracking-category P&L

FAQ

Company-paid claims, answered

What is a company-paid claim in AltomateHR?
A company-paid claim is an expense the employee paid with company funds — petty cash, a corporate credit card or a prepaid card — rather than their own money. Instead of triggering a reimbursement, AltomateHR posts the spend directly to the matching company bank account in Xero as a Spend Money transaction, so the bank line reconciles automatically.
Which payment methods are supported?
Petty cash, corporate credit cards, and prepaid or debit cards. Each maps to its own bank account in Xero. Employees with access to a prepaid card select the specific card from a dropdown so the spend posts to the correct account.
How does the auto-match reconciliation work?
When a company-paid claim is submitted, AltomateHR creates a Xero Spend Money transaction against the paying bank account, carrying the amount, reference and attached receipt. When the bank statement is imported, Xero auto-matches that statement line to the transaction — so reconciliation is a single click, and finance only reviews the exceptions.
What are reconciliation exceptions?
Exceptions are the mismatches worth a person's attention: a bank statement line with no matching claim (an employee hasn't submitted the receipt yet), or a submitted claim with no matching bank line. Everything that matches clears automatically, so finance focuses only on the gaps — in both directions.
Is the receipt stored in Xero?
Yes. The receipt or invoice the employee uploads is attached to the Xero Spend Money transaction, and the line detail is captured by AI vision — so every company-paid expense is searchable and audit-ready inside Xero.
Can I assign company-paid expenses to projects and tracking categories?
Yes. Each claim is assigned to a project and chart-of-account code, and the Spend Money transaction carries the matching Xero tracking category — so project and tracking-category P&L reports include these expenses with no re-keying.
